Job details

Facilities coordinators oversee building and equipment maintenance. Their duties include scheduling preventative maintenance tasks and reacting to maintenance emergencies. They may also be required to determine equipment and supply needs for new buildings. Responsible for resolving issues and/or initiating service calls and scheduling vendors for restaurant equipment and building issues.

·       Processing invoices that are obtained through Service Channel, USPS, or email.

·       Audits and reports technician payroll variances to the Sr. Facility Manager and submits to payroll for processing

·       Documents processes and keeps maintenance records

·       Assists restaurant members in selecting the appropriate service type and vendor for their repair needs

·       Vendor onboarding by processing new vendor paperwork; W9, COI and set up within the Service Channel portal

·       Monitors maintenance budget spending

·       Liaison with vendors and suppliers on behalf o management

·       As directed, completes, and distributes preventative maintenance contracts for new vendors and current vendors, with whom contracts require addendums or are ready to expire.

·       As directed, searches for new vendors for new restaurants and makes recommendations to the Sr. Facilities Manager and Facilities Supervisor.

ORGANIZATION RELATIONSHIPS

The Facility Services Coordinator provides support to the Sr. Facility Manager, Facility Supervisor, Facility Technicians, and restaurant team members. The Facility Service Coordinator also interacts with Accounts Payable and various accounting functions.

 

QUALIFICATIONS

Educational Level/Certifications

·       High School Diploma

Work Experience, Qualifications, Knowledge, Skills, Abilities

·       5+ years experience in facilities administration or project management.

·       Familiarity with Service Channel, and demonstrated ability to learn new software tools

·       In depth understanding of facilities maintenance best practices

·       Extensive experience in building and equipment maintenance

·       Advanced knowledge of maintenance planning and schedules

·       Ability to respond to building and equipment emergencies

·       In-depth knowledge of building safety regulations and security protocols

·       Proficiency in office software, such as Microsoft Word, Excel, and Outlook Express

·       Excellent organizational skills and the ability to communicate clearly

·       Ability to lead change and adapt to an everchanging and fast paced environment 

·       Proficiency in Facilities Management (FM) software, like Drober and UpKeep preferred

·       Bachelor’s Degree in Business Management, Construction Management or similar field preferred

·       Multi-unit (e.g. retail, hospitality, restaurant) and multi-state employer experience preferred
